I've been a little preoccupied and am just getting back to my blogging. I'm revisiting It should be easy right? So what am I missing? After reading the comments and really considering the purpose and roles of the Source and Source Citations I decided to walk you through the process that I settled on for how to enter a birth certificate into Family Tree Maker 2012 (FTM2012) So this is the digital document I had to work with. My father has the original and I made the digital image.
Clicking on the more button next to the Source Template field brings up this screen:
So I choose the Local and State Records - Registrations, Rolls, and Vital Records, I then go to the Category drop down menu and choose State-Level Records And then choose Vital Records Certificate from the Template drop down menu and click on OK. That leaves me with this screen:
As you can see I've filled in the State or County field with the State that issued the birth certificate. I then entered the information on the agency that issued said document in the Agency/creator field. In the Record series field I entered Birth Certificate. Since my father has the original document for this image I'm working with as well as several other documents I will be working with I made him the Repository. My dad isn't a librarian or archivist so for the call number we just refer to this as "May's Birth Certificate", she went by May and so that's what we are using, Grandma and Mother get confusing when your talking to two or more different generations. Then in the comments I just made a quick note with the primary facts of the document.
Since I have a digital copy of this document I click on the Media tab and ad it to this source.
So I end up with seven facts:
1 Father's name
2 Father's age (implying birth date)
3 Mother's name
4 Mother's age (implying birth date)
5 Baby's Name
6 Baby's birthday
7 Place of birth (possible residence of family)
Now I could create a separate citation for each individual fact but since it's just a single page single sided document I opted to create a single citation and link each fact to that citation. This is how I created the Citation. I went to one of the new facts and clicked the add Source Citation. This is the screen you should end up with:
document. Since this data doesn't include information necessary for the citation I left the check box Include citation text in reference note unchecked.
So the Reference Note tab now show's this data:
Since I have a digital copy of this document I click on the media tab and add it to this citation. (FTM2012 allow's you to add the media to both the Source and the Source Citation separately.)
Finally I click on the note tabs and just enter a few notes about tying this subject of the document back to me or my family and anything else that i gleaned from the document like birth order and number of surviving siblings (in this case).
So now my Source Citation will look like this:
There ya go, now 80-99% of the data you will ever need from that source is at your fingertips. At this point it is (or rather should be) safe for you to file that source in your long term filing system. Well that's it. On to the next document.
